Who it is for
Transport fleet management: what Fletaro controls on lorries, buses and vans
The same device works as GPS for lorries and as a remote tachograph downloader. What changes from one vehicle to another is the legal obligation, not the dashboard.
Lorries over 3.5 t
Lorry fleet management with a single device: live position, trips and geofences, activity of drivers 1 and 2 read from the tachograph, and remote download of the card every day and of the memory every week. Lorry fleet control and download deadlines sit on the same screen.
Buses and coaches
Vehicles with more than 9 seats carry the same tachograph and have the same deadlines. Because drivers move between coaches, the dashboard keeps the status of each vehicle apart from that of each driver: the card is downloaded on the day it is inserted, in whichever vehicle that is.
Vans over 2.5 t in international transport, from 1 July 2026
If your vans exceed 2.5 t with the trailer and do international transport or cabotage, they carry a tachograph and fall under these plans.
Domestic deliveries without a tachograph? That is what the GPS tracker for company vans is for, with a different device and a €120 setup fee.
What the regulation says
If tachograph data is missing, the fine is for the company
The Inspectorate fines companies for not holding at their premises the data that must be kept. Downloading it on time is how you hold it.
Deadlines
28 and 90 days
Maximum to download the driver card and the tachograph memory. Fletaro warns you before they expire. And the data must be kept for at least 365 days.
Reg. (EU) 581/2010 · Orden FOM/1190/2005
Serious infringement
€601-800
Non-significant lack of tachograph or card data that must be kept at the company’s premises.
LOTT, art. 141.13
Very serious infringement
€2,001-4,000
Significant lack of that data, or keeping it without the regulatory file structure.
LOTT, art. 140.21
The obligation to download and keep the data remains with the haulier. We automate it and warn you before each deadline.

Company card in the cloud · optional
Your company card, connected and monitored

€6per card and month
One card serves the whole fleet.

Alert if it disconnects
If a card has been offline for more than a day, we warn you.
Expiry alert
At 90, 30 and 7 days before the card expires.
Data protection
Data processing agreement (art. 28 GDPR) signed before receiving the card.
For accounting firms and advisers
Stop asking your clients for the .ddd files
Each client gives you access to their tachograph in Fletaro: you see the download status and the files, and you pull them by web or by API into your analysis software.
Lorries over 3.5 t, buses and coaches with more than 9 seats and, from 1 July 2026, vans over 2.5 t (trailer included) in international transport or cabotage. For vans, own-account transport is only exempt when driving is not the driver’s main activity.
Does any tachograph work?
Compatible with VDO DTCO 1381 from version 1.3a and Stoneridge SE5000 from 7.1. Smart tachograph from 2023 onwards? Ask us before you sign up. Before installing we check the exact model and version of your tachograph; if remote download needs activating, an authorised technical centre does it.
How often must the data be downloaded, and how often do you do it?
The law requires downloading the driver card at least every 28 days and the tachograph memory every 90 (Reg. EU 581/2010), and keeping the files for at least a year. Fletaro warns you before they expire. By default we download the card every day and the memory every week, with no cost per download.
Who installs the device?
A certified technician installs it, fits the device and re-seals the tachograph. If your tachograph needs remote download activating, an authorised technical centre does it. You do the company lock of the tachograph yourself with your company card.
Do I have to give you my company card?
No. You request an additional company card only for remote download and yours stays with you. That additional card goes in a connected reader in your office or, if you sign up for the company card in the cloud, in a reader we manage.
What happens if I do not sign up for the company card in the cloud?
Downloads work just the same, with the card in a reader in your office, as long as that computer is on and connected. The card in the cloud is so you do not depend on it.
Do you warn me when a driver has to stop?
On the dashboard you see live the warning the tachograph itself gives when the 4 h 30 break approaches. We show it as it arrives from the tachograph; we do not calculate it ourselves and it does not reach you as a phone notification.
Do you analyse infringements?
We flag possible infringements for you to review; we do not replace your accounting firm. With the possible infringements tool, available on the Transport Tachograph plan and activated on request, Fletaro reviews the archived .ddd files and flags possible infringements of uninterrupted, daily, weekly and fortnightly driving, of daily and weekly rest and their compensation, of driving without a card and of days without the start or end country recorded. Each one carries an indicative estimate of the fine under the LOTT. It is not advice or a certification of compliance, and it does not replace your accounting firm or its analysis software.
Do I have to change accounting firm?
No. Your accounting firm keeps doing the time analysis; you give it access to your files in Fletaro and it no longer has to ask you for them. If you have the possible infringements tool activated, it helps it know what to review, it does not replace it.
Does the driver have to install anything?
No. We work with data from the tachograph and the vehicle’s device; the driver inserts their card as usual.
Can I start with Transport GPS and move to Transport Tachograph later?
Yes. The device is swapped: we install the one that connects to the tachograph, you pay the Transport Tachograph device & installation fee (€249) and the fee becomes €13.90 + VAT. The GPS device you had is yours to keep.
And if I have a large fleet?
For fleets of more than 100 vehicles there is the Enterprise plan: the same features as Transport Tachograph, with the per-vehicle price agreed according to the size of the fleet. Write to us and we will go through it with you.
Is the digital tachograph mandatory?
Yes: every vehicle required to carry a tachograph that was first put into circulation from 1 May 2006 must carry a digital one (Regulation (EC) 561/2006). The analogue one can only remain in earlier vehicles that run solely in the country where they are registered: in international transport it had to be replaced by the second-generation smart tachograph by 31 December 2024 at the latest (art. 3.4 of Regulation (EU) 165/2014, amended by 2020/1054).
What data does the digital tachograph record automatically?
It records distance and speed, time, the driver’s identity through their card, their activity (driving, other work, availability or rest), checks and calibrations, and incidents and faults (Regulation (EU) 165/2014). The smart tachograph adds the position at the start and end of the working day and every three hours of driving; the second-generation one also records border crossings and loading and unloading.
How is the digital tachograph downloaded?
There are two ways: at the lorry, by connecting a downloader to the tachograph with the company card, or remotely, with a device connected to the tachograph that sends the .ddd files over the mobile network. Fletaro does it remotely: it downloads the vehicle memory every week and the driver card every day it is inserted, authenticating with a company card.
How do I download the tachograph card?
The driver card is downloaded with a reader connected to a computer, from the tachograph with a downloader or remotely while it is inserted in the tachograph. The law requires doing it at least every 28 days (Regulation (EU) 581/2010). With Transport Tachograph, Fletaro downloads it remotely every day the driver inserts it, without the driver having to come by the office.
How do I manage digital tachograph data in Spain?
You must download it on time (the card every 28 days and the memory every 90), keep it for at least twelve months from recording and have it available if an inspector asks for it (Regulation (EC) 561/2006, article 10.5). Fletaro keeps the .ddd files 400 days, encrypted and impossible to delete, marks each vehicle and driver as Up to date, Due soon or Overdue and gives your accounting firm access by web and API.
How do I avoid digital tachograph fines?
By meeting the download deadlines, keeping the files and reviewing driving and rest times in good time. In practice: download the card before 28 days and the memory before 90, keep the data for at least a year and ask your accounting firm to analyse the files. Fletaro automates the downloads and warns you before each deadline and, with the possible infringements tool (on request), flags possible time infringements with an indicative fine for your accounting firm to review.
And if I am not convinced?
You have a 60-day guarantee from installation. If within that period you are not convinced, you cancel without penalty: our technician uninstalls the device at no cost, you return it to us and we refund the setup and installation fee. Monthly fees for the days you used it are not refunded.
Can I leave whenever I want?
After the first 12 months, yes, month to month and with no automatic renewal. Before completing them, and after the 60-day guarantee, the early-termination penalty stated in the Terms applies. The device is yours: you buy it with the setup fee and we do not remove it when you cancel. The SIM and the data line are ours and are deactivated. You can download all your files before leaving.
60-day guarantee
Start with one vehicle.
Leave us your details and we will call you during business hours to confirm your tachograph and schedule the installation. If within 60 days of installation you are not convinced, you return the device and we refund the setup fee. If you stay, the device is yours.
